Traditional annual general meetings require shareholders to gather physically which limits attendance, increases costs and complicates logistics. The client faced challenges in engaging a global shareholder base and ensuring real time participation for remote investors. Coordinating presentations, voting processes, Q&A sessions, and secure document sharing was cumbersome in a physical format. There was also a strong need to maintain corporate professionalism, brand consistency, and compliance with regulatory requirements. Additionally, the client required a virtual environment that could seamlessly integrate presentations, financial data, live discussions, and voting mechanisms without technical interruptions or delays. Another challenge was creating an immersive yet intuitive platform where users of all technical proficiencies could navigate and interact easily.

  Solution

VR Labs Studio developed a fully immersive VR platform for annual general meetings that allowed shareholders to attend from anywhere in the world. The virtual environment replicated a professional boardroom and conference setting with customizable seating arrangements and branding elements. Presentation integration enabled live slide decks, embedded charts, and real time financial reporting to be displayed within the VR space. Shareholders could interact via avatars, ask questions, participate in polls, and vote securely on resolutions during the meeting.
